Management of People

Employee details (name, surname, ID, cell phone number, race, and gender) can be imported to the system and the person can be assigned a specific Role. Roles are used to allow specific system access, determine the required documents, (for example medical certificate of fitness, drivers’ licenses), training requirement, issuing of PPE, etc. Roles are used to group employees, for example, for communication sessions created against documents.

An electronic profile can be created for every employee recording there, race, gender, work area, identification documents, appointments, and training requirements. Any additional documentation as required by the employer can be stored, for example employment contracts, leave forms, disciplinary hearings, etc.

New employees can be manually created or imported in bulk. If we do integration, the process will happen automatically. All requirements linked to their Role will be applicable to that employee.

PERSONS MODULE: MANAGING DYNAMIC PERSON PROFILES

The Persons Module in the i-Manage Compliance system is a dynamic and comprehensive tool designed to host detailed Person Profiles. This module contains essential information about individuals within the organisation, ensuring efficient management of personnel data. Here are the key features and components incorporated into the Persons Module:

1. Personal Information:

    • The Persons Module captures fundamental personal details, including the individual’s full name, surname, and ID number. These are required fields to establish a comprehensive profile for each person.

2. ID Photo Integration:

    • Users can upload ID photos to visually identify individuals within the system. This feature enhances recognition and facilitates a visual representation of personnel associated with various roles and responsibilities.

3. Work Area and Job Title:

    • The module includes fields to specify the work area and job title of each person. This information provides clarity on the roles and responsibilities associated with individuals within the organisation.

4. Contact Details:

    • Essential contact details such as email addresses and mobile phone numbers are captured within the Persons Module. These details are particularly crucial for individuals requiring login credentials to access the system.

5. Required Documents Management:

    • The module distinguishes between confidential and non-confidential documents, allowing for the systematic storage of required documentation associated with each person. This feature ensures compliance with documentation requirements.

6. Training Certification and Expiry Details:

    • Individuals’ training certifications, along with their respective expiry details, are recorded in the Persons Module. This facilitates proactive monitoring of training compliance and helps in scheduling necessary training sessions.
